March Madness is here. Brackets are busted. Underdogs are winning. And somewhere out there, thousands of Realtors are digging through glove compartments, old Amazon emails, and random debit card charges trying to remember what was actually a business expense.
Sound familiar?
Every March, the same thing happens. Agents who worked incredibly hard all year suddenly realize they were great at selling houses but not so great at tracking their expenses. And when that happens, one thing usually follows.
They end up paying more taxes than they needed to.
Here is the truth most agents do not hear often enough. You are not just a Realtor. You are a small business owner. And small business owners track their expenses like their profitability depends on it. Because it does.
So in honor of March Madness, let’s talk about the expense categories that deserve a spot in your Final Four.
🏀 Round One: The Expenses Agents Forget First
Before we get to the big deductions, let’s talk about the little things that quietly slip through the cracks.
These are the charges that happen so often they almost feel invisible.
• Coffee meetings with clients
• Parking when showing homes
• Open house snacks
• Printing flyers
• Canva subscriptions
• Lockboxes and showing tools
• Small client gifts
• Office supplies
• Quick boosts on Facebook posts
One coffee meeting does not seem like a big deal.
But 40 coffee meetings later, it absolutely is.
🏀 Sweet 16: The Small Charges That Add Up Fast
Some of the most powerful deductions are not flashy. They are simply consistent.
Here are a few categories agents often underestimate.
Mileage
Driving buyers around. Listing appointments. Broker tours. Inspections. Showings. Mileage adds up incredibly fast and is one of the most commonly missed deductions.
Marketing materials
Flyers, brochures, signs, postcards, photography, listing videos, digital ads.
Technology tools
CRM platforms, transaction management software, email services, scheduling tools, Zoom, Canva, and the growing list of AI tools agents use.
Education and networking
Conferences, workshops, coaching programs, association events, and mastermind groups.
All of these fall into the category of investments in your business.
🏀 Elite Eight: Start Thinking Like a Business Owner
One of the biggest mindset shifts an agent can make is this.
Stop thinking like a salesperson.
Start thinking like a business owner who happens to sell real estate.
Business owners track everything because they understand something very important.
Profit is not just about what you earn. It is also about what you keep.
If you are not tracking your expenses, you are essentially giving the IRS a tip.
And I do not know about you, but that is not on my list of favorite charitable contributions.
🏀 The Final Four: Expenses Every Realtor Should Be Tracking
If we had to narrow it down to the four categories that impact agents the most, these would be the Final Four.
1️⃣ Vehicle and Mileage
Agents spend a huge portion of their day in the car. Showings, inspections, open houses, listing appointments, property previews. Mileage deductions can be significant, but only if you actually track them.
2️⃣ Marketing and Advertising
Signs, listing photos, staging consultations, paid ads, social media promotions, postcards, and branded materials all fall into this category.
3️⃣ Technology and Software
Real estate runs on tech. CRMs, websites, lead systems, transaction management platforms, email marketing tools, design tools, and AI software are all part of doing business today.
4️⃣ Client Relationship Expenses
Coffee meetings, closing gifts, pop-bys, appreciation events, and networking opportunities. These are not just expenses. They are investments in relationships.
🏆 Championship Strategy: Track Everything
Here is the simplest rule.
If you spent money to support your business, track it.
You can always decide later whether something qualifies as a deduction. But if you never record it in the first place, that opportunity is gone.
Successful agents are not just great at marketing and negotiating.
They are also great at running their business like a business.
And that includes making sure their expenses make the Final Four.
🏁 Final Thought
March Madness reminds us that every game comes down to the fundamentals.
In real estate, we spend a lot of time talking about lead generation, marketing, social media, and negotiation skills. Those things absolutely matter. But there is another side of running a successful business that does not get talked about nearly enough.
Your finances.
Tracking your expenses might not feel exciting, but it is one of the simplest ways to make sure you are keeping more of the money you worked so hard to earn.
The agents who win in this business are not always the ones closing the most deals. Sometimes they are the ones running the smartest business behind the scenes.
So as tax season approaches, ask yourself one simple question.
